What are your suggestions for buying a phone system?

FUNCTIONALITY:
Regardless of how little or how many features, applications and functionality you require, most newly manufactured phone systems are either Hybrid key systems which can use regular analog lines, and can be licensed and equipped for SIP and VoIP, or are pure SIP/VoIP systems which do not use regular analog lines. Make sure you are clear on what you and your staff require or want from a phone system in terms of helping to grow your business, and that your choice has the demonstrated ability to provide this.

COST TO MAINTAIN:

Consider the future costs of maintaining your phone system in terms of troubleshooting, maintenance, moves, adds and changes. If you anticipate frequent maintenance or adds and changes, and you are interested in curbing future labor costs by controlling most of your own maintenance, you might want to request training on the web based maintenance browser for your system. This will empower you to provide a good deal of your own maintenance, relying on the phone system provider for perhaps in house wiring, or additional equipment.

HYBRID:

If you require a small, simple system, with basic functionality, a hybrid is a good selection, since, by default most of these systems have all of the basic functions and features and capabilities; ready for connection to the phone company’s analog or digital line service, calling line ID, on hold, call transfer, music on hold, headset compatibility, voicemail compatibility, etc… and yet at the same time, these systems are expandable, and can be licensed and equipped with hardware or software for more advanced, complex features and applications, Voice Over IP and SIP technologies. You pay for what you initially require, with the ability to advance at a later date.

PURE SIP/VoIP SYSTEM:

If you subscribe to SIP trunks from companies such as TeloIP or ThinkTel, or require strictly in-house and external VoiP connectivity, the Hybrid system is still a good choice, however, the SIP/IP system might also already have more advanced features and applications already built in – these may be features and applications you require.

PRICE COMPARISON TO REQUIREMENTS:

It might be a good idea to compare the pricing of a Hybrid key system to a PURE IP system, if your requirements are greater than basic functionality, or if you are just unsure.

How do I change the time & date on my phone and voicemail system?

NEC IPK Level 1 and Electra Elite 48 and 192
Follow these steps:

  1. From the receptionists set with the handset in the cradle, press the “Feature” key then “9” then the “#” key.
  2. Enter the new time, 2 digits for the hour and 2 digits for the minutes. (i.e. if it is 8:00am enter 08 for the hour and 00 for the minutes).
  3. Press the “Recall” key to toggle between AM and PM.
  4. Press the “Feature” key to end or press the “Hold” key to change the date.
  5. Press the “Recall” key to select the day of the week.
  6. Dial “#” to move the cursor the day of month field.
  7. Enter the day of the month via the dial pad.
  8. Press the “Recall” key to select the month.
  9. Dial “#” to move the cursor the year field.
  10. Enter the last two digits of the year via the dial pad.
  11. Press the “Feature” key to end.


NEC IPK Level 2
Follow these steps:

  1. From the receptionists set press the “Speaker” key.
  2. Dial “728.”
  3. Dial two digits for the hour (24 hour clock, 13 = 1:00pm).
  4. Dial two digits for the minutes (00~59).
  5. Press the “Speaker” key to hang up.

Can I access voicemail from outside our office?

NEC phone systems:
Follow these 2 steps:

  1. Call into the voice mail or have the attendant transfer you to voice mail.
  2. From the main greeting enter “9” + your extension number followed by your security code.


TOSHIBA phone systems:
Follow these 2 steps:

  1. Call into the voice mail or have the attendant transfer you to voice mail.
  2. From the main greeting enter Your extension number followed by your security code.

Can we track call data to and from our system, staff?

Your Toshiba and NEC phone systems have proprietary software packages that are able to track call volume by hour, day, week, etc. There are also agents reports available for length of call, Calls answered, break times, etc. As well, CASH Call Accounting software can provide SMDR (Station Message Detail Recording) to track calls for each telephone on pretty much most phone systems.

How do I set up a conference call?

NEC (Elite IPKII / Aspire / Aspire S)
With a call in progress:

  1. Press “Conf” key.
  2. Place second call (Internal or external).
  3. Announce conference.
  4. Press “Conf” key twice to establish conference call.


NEC (Elite 48/192 & IPK)

With a call in progress:

  1. Press “Conf” key.
  2. Place second call (Internal or external).
  3. Announce conference.
  4. Press “Conf” key to establish conference call.

Toshiba CIX 40, CIX 100, CIX 670
While you are on a call, and presuming the second outside party to join the conference is on HOLD at your phone, you will then depress the soft key under the word conference on your display phone, select the line key the second outside party to join the conference is HOLDING on, and then depress the “people” key on your phone.

Do you provide used phone equipment?

We frequently have access to used telephone equipment as a result of system upgrades we do. What makes it even better for those we upgrade, and the customers seeking used equipment, is that we typically connect both parties to make the exchange, and this eliminates the middle man (Diamond Communications), and therefore any profit taking. Our goal is to gain new customers. Please call us if you are interested in used equipment and we will do what we can to help you.

How Do I transfer a call?

NEC IPKII, IPKI, Elite 192, Elite 48:
While on the call, press the transfer key and then dial the three digit ext of the person who should receive the call. You can then either announce the transfer before hanging up, or simply hang up.
Toshiba:

While on the call, press the “people” key, and then dial the three digit ext of the person who should receive the call. You can then either announce the transfer before hanging up, or simply hang up.

Can I reset the password on my mail box?

NEC: Have the system administrator (phone with system manager options) access his or her voicemail, enter his or her passcode, enter YOUR extension number when prompted, and then select 1 to delete the pass code. Go over to YOUR phone, go to SET UP OPTIONS, and follow the NEC spoken directions 1 for yes, 2 for no, until prompted for a password. If the system is adamant you should enter a pass code, regardless, please call our office for information specific to your system.

How do I add a mailbox to our voicemail?

Toshiba:
Please call our office at 250-383-1003, as the information will be specific to your system and we will have that on file.
NEC:

Select the soft key under the display screen indicating System Manager, press more or “>>>>” press mgr, press chbx, and then options given

Do you provide online, or over the phone maintenance and assistance?

    Yes we do! Where ever possible, we work with you to resolve any challenges or questions you have with telecommunications equipment, programming or software over the phone, and/or on line as is appropriate.
    While we strive to always have someone available to help you immediately, the appropriate technician may be already on a service call. In this case if the office staff cannot help you resolve your question, non-emergency troubleshooting of your equipment and software is usually scheduled for the afternoons so we can best help you, as most on location service calls are scheduled for morning. If your questions or concerns about your system can be resolved over the phone or online in half an hour or less, support is free.
      If the assistance you require is of an urgent nature that cannot wait, or takes 30 or more minutes for a field technician to work with you to resolve, service charges will be applied in half hour increments. Please ask if you are concerned.
    We are always happy to assist you with troubleshooting equipment and/or software programming issues, as well as to walk you through end user (customer) changes, moves and additions to equipment that might not otherwise be apparent in your end user guides.

How do I relocate or swap a telephone with an existing location?

NEC:

IPKII take the phone you want to relocate and plug it into where you want to relocate, press speaker, 777, password 1234, extension you want it to be (if this does not work, please call because not enabled by default)

IPKI press speaker 58, pass is ten zeroes
192, same
